About Customer RMAs

Customer RMAs are used to preapprove refund transactions. Companies with a high volume of return transactions or with high cost items may wish to use this optional feature to control refunds. When this feature is used, a previously created RMA must be referenced to validate each refund transaction. Customer RMAs also serve as an extra security step in the refund process. This type of transaction is most commonly associated with mail order and telephone order type businesses.

Buttons

Save
Click this button to save the RMA and return to the previous window.

Save and Issue Sales Refund
Click this button to save the RMA and immediately create a sales refund using the saved information.

Insert Item
Click this button to insert a new line item into the RMA.

Delete Item
Click this button to delete the currently selected detail item.

Search for Item
Click this button to search supertrack inventory for an item to be placed on this transaction.

Item Profile

Click this button to view the selected item's supertrack inventory record. You can then view and/or make changes to the record from the window that comes up. Note that any changes you do make will not immediately affect the line item in the transaction you are currently creating unless you delete and re-add the item.

Item Notes
Click this button to view/edit the transaction item note for the currently selected detail item. This note will be printed on the invoice following the item.

Transaction Notes
Click this button to view/edit a large note to be printed in bold at the bottom of the printed transaction.

Close RMA
Click this button to manually close out an RMA transaction. A button called Reinstate RMA will be present on any RMA that is manually closed; clicking it will re-open the RMA.

SKU Notes
Click this button to view internal notes on the item currently highlighted.

Print
Click this button to reprint the RMA transaction. This button will be available only when viewing a completed RMA transaction.

E-Mail
Click this button to e-mail an RMA transaction. This button will be available only when viewing a completed RMA transaction.

Attach documents to this record
Click this button to view or attach documents to this record in the Intellifile Explorer.

Header Fields

Ref Invoice No.
Enter the original invoice number from which you will be receiving returned merchandise.

Location
Displays the location number this RMA is being generated under. The location number is filled in by whatever location was logged into and cannot be changed at the transaction.

Trans. Date
Displays the date the transaction was created. This date cannot be changed.

RMA No.
Displays the internally generated number for this transaction. This number cannot be changed.

Return From
Displays the address information of the customer who is returning items to the company. This address information is obtained from the original invoice Bill To field. Click the radio button provided to change the information on this transaction only.

Reason Code
Enter a reason code to help you identify why this return is being made.

Disposition
Select the action to be performed upon receipt of the items in this RMA. Choose from Replace Item, Issue Refund, or Issue Credit Only. This value will affect the refund transaction(s) that are generated against this RMA.

Ship VIA
Select the shipping method by which this RMA is being shipped to the company.

SKU Item
Enter the SKU number from Supertrack Inventory of the item that the customer is returning.

Description
Enter the description of the item being returned.

Quantity
Enter the number of units of this item the customer is returning. The number of decimal places displayed in this field is determined by the quantity precision setting in the Inventory section of Setup ... Accounting.

UM
Displays the sale unit of measure for this item, if any.

Received
Displays the number of items that have been received against this RMA. This number is determined by any refund transactions that are posted against this RMA. This value is not editable from this form.

Unit Price
Enter the unit price that the customer paid for the item. This amount may be filled from the original transaction. The number of decimal places displayed in this field is determined by the price precision setting in the Inventory section of Setup ... Accounting.

Extended Price
Displays the total dollar amount being returned to the company. This amount is determined by multiplying the quantity by the unit price.

Footer Fields

Employee
Displays the employee ID of the employee creating this transaction.

Memo
Enter an explanation or note concerning this transaction here.

Freight
Enter the amount of freight to be refunded to the customer.

Taxes
Displays the total amount in taxes that will be refunded by the company if the entire RMA is refunded.

Total Due
Displays the total amount due back to the customer if the refund uses the complete RMA information.

Discount
Enter the amount of the discount to be removed from this RMA. This amount cannot be greater than any discount amount on the original invoice.




Q & A - Customer RMAs

Q01.   Why would I need to create a customer RMA? Why not just issue a refund?
A01.   Customer RMAs are used when a company has a high volume of returns or when customers are sending a return item by mail, courier, etc. RMAs are used to stop unauthorized returns and to ensure that items that were not allowed to be returned are not accepted back into inventory.
