About Company Setup

Use this screen to set up important company information used for your business. The Setup Company screen has been divided into several categories, each containing important settings. Select the category on the left side of the screen, and the settings for that section will appear on the right.

Keep in mind that not all sections may apply to your business. In addition, the sections in the setup list may be hidden based on the features included with your license and/or general options not chosen.

Accounting Rules

Allow alphanumeric characters when creating GL account no.
Check the box to allow letters and numbers, or leave blank to allow only numbers.

GL Account Segment 1 Length
The length of the first segment of the GL Account.
GL Account Segment 2 Lengthgear
The length of the second segment of the GL Account. This field is accessible when alphanumeric GL accounts are not used.
GL Account Segment 3 Lengthgear
The length of the third segment of the GL Account. This field is accessible when alphanumeric GL accounts are not used.

bulbThe GL Account segments can represent anything you want. For example, you can use the segments to represent subaccounts, departments, divisions, etc. However, this is normally used only by very large companies. For most small to medium businesses, a four or five-digit account number format is appropriate. Check with your accountant to find out what kind of account number format your company should use. Note that it is not necessary to include a location inside your account number. Financial reports may be run for a specific location only, without having to include the location in the account number.  



Auditor Options

This screen controls what an outside auditor with the accountant's copy of ManageMore is allowed to modify. Placing a check in the appropriate checkbox will allow the auditor to make the changes noted.

Modify the chart of accountsAllows the auditor to edit to add GL accounts to the existing chart.  
Create and edit budgets.Allows the auditor to make new budgets and modify any existing ones.  
Create and edit fixed allocationsAllows the auditor to make new fixed allocations and to change those that already exist.  
Edit posting accounts on various records  
Allows the auditor to post changes or other information so as to change the account totals.  
Reconcile GL AccountsAllows the auditor to reconcile any of the GL accounts within the chart of accounts.  
Adjust inventory quantities and classifications  
Allows the auditor to create inventory adjustment transactions to modify quantities of items and change the ABC Classification of that item.  
Create new journal entriesAllows the auditor to make journal entries to move monies from one account to another.  
Edit legal information and create government forms  
Allows the auditor to change legal information about the company (such as tax IDs) and create 1099 forms for outside vendors.  
 



Company Address

Company Address
Enter the physical address of your company here. Use the last line for your city, state, and zip code, or the line above it for addresses outside of North America.

International Address
Check this box to denote that the address being entered does not have a last line containing City / State / ZIP Code format.

Payment Address
Enter the address to which customers should send payments here. This address will appear on customer statements the next time statement processing is run.




Company Name

Company Name
The name of the company. Some product licenses may prohibit changing this value after the company has been created.

Checks Payable To
Enter the name of the company that should print next to the "Make Checks Payable to:" line on billing statements.




Contact Information

Main Office Phone
Enter the phone number for your main location.

Facsimile Phone
Enter the fax phone number for your main location.

Cust Service Phone
Enter your main phone number which customers should call. This is the number that appears on customer statements.

Federal Employer ID
Enter your company's federal employer ID. This number is printed on tax forms and documents.

State Employer ID
Enter your company's state employer ID. This number is printed on tax forms and documents.

State Unemployment ID
Enter your company's state unemployment ID. This number is printed on tax forms and documents.

VAT Registration ID
Enter your company's VAT registration ID for inclusion on certain sales invoice form types, if applicable.

Website Address
Enter the company's website address here.




General Options

Company Setup

Country Code
Determines localized country settings.

Transaction Alert Sound
Select a special sound that will play when completing a transaction in ManageMore. Note: Workstation must be equipped with speakers and a sound card.

Map Type to Use
Specify a type of map service to use when locating a customer's address. You must have a connection to the Internet to use this feature. Currently supported values are:

1   Yahoo!® Maps

Allow database logging activity within key areas of the program
This option allows ManageMore to log changes to records in specific database files, such as customers, vendors and services.

Allow alternate address invoice/payment printing for multiple locations
This option allows the location address to print on the transaction forms in lieu of the company address.

Allow fast description searches using the Intellisearch lookup engine
Intellisearch is a unique feature which allows quick and intuitive inventory lookup of products and services. Find product codes with ease by searching on partial, misspelled, and abbreviated entries.

Company check list has been completed and will not be displayed
This option will suppress the company check list from appearing on screen. The check list allows a user to record what areas of ManageMore they have set up and completed. The check list is available at any time by selecting File ... Company Checklist.

Security

Additional verification password for sensitive areas of the program
Enter a password here to provide additional security to sensitive areas of the software.

Preferences

Some of the menu options in ManageMore can be hidden. Check the boxes that correspond to the menu options you want to display. This way, you can customize the menus in ManageMore to suit the needs of your business, or to simply make data entry easier.

bulbYou can also hide industry-specific options in ManageMore. This is especially useful if you do not use a particular industry module and do not wish to display those options on the menu. See the topic on Editing Company Information for instructions.  

Paths

This section is used to define the folders where certain external related files are stored. If a folder is defined in this section, the user will be directed to that folder when browsing for a file of the type specified. If no folder is defined, the user will be directed to the root of the current drive.

Images Path
Enter or select the folder where program images are stored, such as inventory item images.

Export Path
Enter or select the folder to which files will be exported.

Sounds Path
Enter or select the folder where sound files are stored.



Industry Modules

This tab displays the industry-specific options available with your ManageMore license. Check the industries you would like to use with this company. Unchecking unused industries will dramatically simplify the menu options available.




Postal Permit

Postal Permit Line 1
Select the appropriate postal permit type. This permit information is used on select customer statement forms.

Postal Permit Lines 2-5
The additional postal permit information to print on select customer statement forms.




Tax: 1099

This window displays the thresholds for which a vendor will have a 1099 form created for them should they exceed the amount in any of the fields. Amounts will appear by default, be certain to double-check with your accountant or bookkeeper as to the accuracy of the dollar amounts shown.
